How do I add tracks to my event?

Please note that the following article shows functionality for the new version of our form editor (v2). If you are using our legacy form editor (v1), you can still follow the steps in the article below, but the location, naming and availability of some options noted may be different. If you wish to switch to the new version of our editor, please contact us at getregistered® support.

What are Registration Tracks?

Tracks are custom registration paths through your event. They allow you to set custom fields, sections, pricing, and capacity for different attendee registration types.  Using tracks allows you to do things such as having different questions for VIP registrations, or charging different prices to vendors.

Registration Tracks Overview

Tracks are configured via the left-hand sidebar in the registration form editor. From here you can add as many tracks as you like, specifying the track's name, description, invite-only status, and total capacity. Additionally, if 'Fees and Payments' are enabled in the 'Payments' area of your Event Settings, you can specify a price to charge for registering for each track.

To begin creating a track, simply click on the '+ Add Track' button:

Once selected, you will see a new window displayed to the right of the page:

Simply populate the form as required and click 'Add Track' to save your changes. Once created, tracks can be edited, previewed, deleted and re-ordered via the Tracks sidebar menu.

You can fully customize the registration experience for each track by assigning sections, fields and widgets to specific tracks only (default setting for all sections and fields is 'Visible to all tracks').

If you wish to preview a track's event path, you can select 'Track Preview' (under the 3 dots displayed next to the track) to view what fields and sections the specific track will see:

How do I configure a track for attendees?

When you select to add a track, you will be presented with a form similar to the following:

When creating a registration track, you will see the following initial options available to you:

  • Name - the name of your registration track. This will be displayed on the track selection page and registration form for your attendees, and is a mandatory field.
  • Description - allows you to add a brief description of the registration track that will be displayed to attendees when making their track selection.
  • Track Type - allows you to apply conditions to the track that the attendee will register with, setting it to a specific type. If all track types are left unchecked (default), the track will be used as a regular track (no track types applied):
    • Invite Only - sets the track to only be available via an invitation link (either a shared track invitation link or an individual one that can be sent via your Invitations area).
    • Guest Track - sets the track to be a 'guest' track. When set, main attendee tracks will be able to add additional attendees under the track as a 'guest' when registering. More details on this option are available later in this article.
    • Speaker Track - sets the track to be a 'speaker' track. When set, any attendee registering under this track will be captured as a 'speaker' at your event.

Scrolling further down the form, you will see the remainder of your track options displayed:

  • Hide Capacity - when enabled, the number of remaining 'spots' for the track will not be displayed for attendees on the track selection page
  • Enable Waitlist - allows you to create a virtual 'waitlist' that attendees can join if your track is at capacity. For more information on this feature, please refer to this article.
  • Admission Types - this area allows you to set your availability, capacity and pricing for the current track. A track can have more than one Admission Type, allowing you to create different pricing structures (such as 'early bird' ticketing) for your track. To create more than one Admission Type, click on the green '+' icon. To delete an admission type, click on the 3 dots displayed next to the admission type you wish to remove - all tracks must have at least 1 admission type.
    • Name - the name of the Admission Type that will be displayed to attendees on the track selection page. This is a mandatory field.
    • Available From/To - allows you to set a date/time range for when the admission type is available.
    • Quantity - the number of tickets available for an admission type. When the capacity is reached, the admission type will no longer be available to attendees when registering.
    • Price (not shown in the screenshot above) - if you have payments enabled in your Event Settings, you can allot a price for an admission type.

When you are ready to save your track, click on the 'Add Track' button, and your new track will now be available for event registrations (depending on availability/capacity set).

How do I configure a guest track?

When configuring your registration track, if you select the 'Guest Track' Track Type, you will see some different options displayed on the 'Add Track' form:

A guest track can be configured with the following options:

  • Guest Track Options - in this area, you will see a list of all 'non-guest' tracks displayed with a 'Limit' field for each track. In each field, you can specify the number of guests that a 'non-guest' track can add to their registration.
  • Make guest email optional - when checked, attendees will have the option to skip adding an email address for their guest(s) when registering. This ideally used for scenarios where a guest track will be for a family member that is under 18, or if you are not interested in creating/sending any communications for guest registrations.
  • Guests receive a registration confirmation email - if this option is enabled, when the main registration is completed and confirmed, any guest registrations with an email address provided will receive a confirmation email and will then have the ability to login and manage their own registration.
  • Allow Guest Registration After Event Close - this option allows guests to be able to register for the event post-registration freeze/closing.

Guest tracks can also have multiple admission types and pricing applied, as well as hiding capacity. However, guest tracks cannot be 'waitlisted'.
